How to Do a Mass Mailing

Stamps.com allows you to print postage and addresses to groups of people all at one time. All you have to do is create a "Group" using selected contacts already in your address book and then print postage for the whole Group. You can even save the Group for future mailings (see Option B). When printing Internet Postage or Shipping Labels, Stamps.com will automatically verify and correct the addresses you have included in your Group. This can be very useful for things such as customer prospect lists.

Create different Groups for different purposes. Set up and save Groups for customer promotions, billing, holiday cards, invitations, and anything else you can think of.

NOTE: If you choose to print your addresses and postage on labels for use with envelopes, the USPS® requires customers to use special fluorescent labels which are available from the Stamps.com Store. You do not have to use fluorescent labels with packages and flats, only with envelopes.

Option A
Using any Address Book. (Recommended if you will send mail to the mailing list only once).

  1. From the main screen, select the Print Postage tab.

  2. In the Recipient Address window, select the Address Book icon.

  3. Select an Address Book which contains the mailing list from the "Select an Address Book" prompt.

  4. Highlight all of the members of the mailing list. To select a range of addresses, click on the first name in the range and while holding the shift key, click on the last name in the range. To select multiple addresses that are not in a row press and hold the control key while selecting addresses.

  5. Select OK.

  6. Assign all other postage options (class of mail, postage amount, envelopes or labels, etc.) which describe the mail pieces.

  7. Place the proper envelopes or labels in your printer. Make sure the envelopes or labels you place in your printer are the same as the labels you selected in "Print On".

  8. Click the "Print" button on the bottom of the screen. If you have not printed this type of postage before, you may want to use the "Print Sample" function to help avoid misprinted postage. Printing samples is free.

  9. NOTE: When doing a mass mailing with an address book other than the "Stamps.com Address Book", you cannot save the mailing list as a separate group that you can select at another time. If you intend to use your mailing list more than once, see "Option B".
Option B
Using Stamps.com's Address Book. (Recommended if you will send mail to the mailing list multiple times).
  1. From the main screen, select the "Print Postage" tab.

  2. In the Recipient Address window, select the "Address Book" icon. Select "Stamps.com Address Book" from the "Select an Address Book" prompt. NOTE: You can only save mailing list Groups from within the "Stamps.com Address Book".

  3. Import or enter any new mailing list names into the "Stamps.com Address Book".

  4. Click the "New Group" button, and the "Group Information" dialog box will appear.

  5. Provide a Group name that describes the mailing list.

  6. Highlight all of the members of the mailing list, and select the "Add" (>>) button to add them to the Group.

  7. Select "OK".

  8. Select the newly formed Group, and then select "OK". This will return you to the "Print Postage" dialog box.

  9. Assign all other postage options (class of mail, postage amount, envelopes or labels, etc.) which describe the mail pieces.

  10. Place the proper envelopes or labels in your printer. Make sure the envelope or label that you place in your printer is the same as the label you selected in "Print On".

  11. Click the "Print" button on the bottom of the screen. If you have not printed this type of postage before, you may want to use the "Print Sample" function to help avoid misprinted postage. Printing samples is free.
